Hexagon is committed to maintaining a safe, ethical, and compliant workplace. We encourage the reporting of concerns so that potential issues can be addressed in an appropriate and responsible manner.

1. Who can report a concern?

Concerns may be raised by:

Hexagon employees
Suppliers, customers, contractors, freelancers
Shareholders and other business partners
Any individual who becomes aware of a potential issue involving Hexagon

2. Can I report anonymously?

Yes, you can remain anonymous and still stay in touch with the investigators via the Hexagon SpeakUp platform. If you leave a voice message, your concern will be transcribed, and the recording will be erased in the system before it reaches the investigation team. As such, your voice cannot lead to an identification. although providing your name helps us investigate more effectively.

3. What types of concerns can be reported?

Reports may concern any good-faith belief or reasonable suspicion of misconduct within Hexagon’s operations or involving its personnel or business partners, such as:

Violations of laws
Breaches of Hexagon policies or procedures
Harmful, improper, or unethical behaviour

Examples include suspected fraud, corruption, conflicts of interest, or export control and sanctions violations related to our business.

To ensure appropriate handling, we kindly ask that routine operational issues, customer or commercial issues, personal employment disputes, performance-management questions, or workplace grievances are directed to the usual business channels. False, misleading, fake, or defamatory reports should not be submitted.

4. What is a “good-faith belief”?

A good-faith belief means that you genuinely and honestly think something may be true based on what you know at the time — even if you later turn out to be mistaken.

It requires:

Honesty (you truly believe it),
Reasonableness (a typical person could see why you thought that), and
No intention to mislead or harm.

A good-faith belief does not require proof or complete information — only a sincere and reasonable concern.

5. How can a concern be reported?

Notes:

EU-based reporting options: if a company in the European Union has 250 or more employees, complaints may be submitted to its local representatives so they can be addressed locally.
Confidentiality: Reporters can remain anonymous. Hexagon treats the identity of reporters and all information provided with strict confidentiality and follows a need-to-know principle.
Providing documentation: Reporters are encouraged to provide any documents or details that may help clarify the concern

8. How are reports handled?

When you submit a concern, it is first received and reviewed by a committee composed of HR and Compliance experts. The team checks whether your submission relates to a potential breach of laws, policies, procedures, or harmful, improper, or unethical behaviour, and whether it provides enough concrete information to create an initial indication of misconduct. This means your report should not rely on assumptions or beliefs alone — it should include factual details or observations that can be verified.

If an investigation is warranted, an investigation team is assembled with the expertise needed for the case. This may include an internal investigator or, if needed, external specialists such as investigators, lawyers, interpreters, or other experts. Information is shared strictly on a need-to know basis to protect confidentiality and to ensure the process remains objective and efficient.

If your submission is not compliance-related — for example, if it concerns an operational issue or an employment-related matter — it is forwarded to the appropriate business function for further handling. These matters are not investigated by the Compliance Team. The overall goal is to ensure that every concern is handled by the right function in a fair, objective, and timely manner, applying a risk-based approach.

Hexagon conducts all case handling in line with the following principles:

Compliance with legal and internal requirements
Careful, impartial, and respectful treatment of all individuals involved
Confidentiality and data protection
Protection against retaliation for good-faith reporting
Presumption of innocence
Safeguarding Hexagon’s operational integrity

9. What is the process for handling reports?

Hexagon’s response to reports corresponds to the facts and circumstances reported. The typical process often begins with logging the report into our case management system, acknowledging its receipt within the timeframes required by applicable law, but no later than within 7 days, and conducting a preliminary assessment, all of which may occur concurrently. Depending on the findings, we either proceed with a detailed investigation or decide to close the matter. At the conclusion of any investigation, responsive actions may be taken if necessary. Updates on the investigation’s progress might be provided to the reporter, if permissible and appropriate under the circumstances. All employees must cooperate with internal investigations, to the extent permitted by applicable law, including by participating in interviews and preserving and providing relevant information, documents, and records. Once submitted, the reporter cannot withdraw their report and all subsequent actions are determined at Hexagon’s discretion.

10. Protection from retaliation

Hexagon strictly enforces a no-retaliation policy to protect any individual who reports a concern in good faith. This policy prohibits any actions that may directly or indirectly impact the reporter. If the Compliance organisation receives any report of current or impending retaliation, it is thoroughly evaluated and addressed appropriately. However, this safeguard does not cover individuals who abuse the system by submitting inaccurate or malicious reports. Engaging in such behaviour may lead to disciplinary or legal consequences.
